How to use this receipt template
- Pick the payment method and date. Add the related invoice number if there is one.
- Fill in your details under Received by and the customer's under Received from.
- List what was paid for. Leave Amount paid blank if the total was paid in full.
- Download as Word or PDF, or print a copy to hand over.
Receipt vs. invoice
An invoice asks for money, and a receipt proves it was paid. If a client pays an invoice, reference the invoice number on the receipt so both records tie together.
Common kinds of receipt
- Cash receipts. The only record of a cash payment, so always give one and keep a copy.
- Deposit receipts. Show the deposit, what it's for, and whether it's refundable.
- Rent receipts. Include the property address and the period covered.
- Sales receipts. Itemize goods, and show sales tax separately where it applies.
Keeping records
Save a PDF of every receipt you issue, named with the receipt number. For receipts you receive as a business expense, log them in the expense tracker and store the image. The IRS accepts digital copies as long as they're legible and complete.
