How to fill in this timesheet

  1. Enter the employee name, hourly rate and the first day of the pay period.
  2. Choose weekly or biweekly.
  3. For each day, enter time in, time out and unpaid break minutes. Overnight shifts work: a time out earlier than the time in counts past midnight.
  4. Check the weekly totals, then download for signatures and payroll.

Divide minutes by 60. So 7 hours 45 minutes is 7.75 hours, not 7.45.

What federal law requires you to keep

  • Hours worked each day and each workweek
  • The regular hourly rate and total overtime pay
  • Total wages for each pay period and the pay date
  • The employee's name, address and job title

Overtime basics

Overtime is 1.5× the regular rate, which includes non-discretionary bonuses and shift differentials, not just the base wage. California, Alaska, Nevada and Colorado also have daily overtime rules, and California requires double time in some cases. Check your state before relying on weekly totals alone.

Timesheets for freelancers

If you bill by the hour, use the same sheet to track client work, then carry the hours onto an invoice. Ignore the overtime split, since it doesn't apply to contractors.

Frequently asked questions

How is overtime calculated?

Under federal law, non-exempt employees get 1.5× their regular rate for hours over 40 in a workweek. Each 7-day week stands alone, so a biweekly sheet checks each week separately rather than averaging 80 hours.

Do breaks count as work time?

Short breaks of 5 to 20 minutes are paid work time under federal rules. Meal breaks of 30 minutes or more can be unpaid if the employee is fully relieved of duties. Some states have their own break rules.

Can I round time punches?

Rounding to the nearest 5, 6 or 15 minutes is allowed if it's neutral over time. Under the common 7-minute rule, 1 to 7 minutes rounds down and 8 to 14 rounds up to the quarter hour.

How long do I keep timesheets?

The FLSA requires payroll records for 3 years and the time cards behind wage calculations for 2 years. Some states require longer.
